  • Partners are responsible for providing all equipment, including 100 foot long 12 or 14 gauge extension cords and power strips. Shorter extension cords may not be strung together. All equipment and extension cords must be in good working condition, UL listed and meet campus electrical requirements (see attached “Electrical Safety Requirements for Temporary Facilities”). List below EACH item of equipment that requires electricity and specify the amps OR volts AND watts required to power each item. Power is limited and items not listed will have no access to electrical power.

    Booths may not exceed 10’ x 10’ without advance approval from ASUCD Sunset Fest. ASUCD Sunsetfest will provide one 8’ table and two chairs. Draw a detailed plan of your proposed vendor booth (see sample plot plan below):

    INSURANCE REQUIREMENTS:

    All business/vendor partners engaged in promotions or sales of goods and services (non-food) at special events on the University of California, Davis campus are required to carry insurance in the amounts listed below:


    GENERAL LIABILITY

    Aggregate: $2,000,000

    Per occurence: $1,000,000

    Products and completed operations: $1,000,000

    Personal injury: $1,000,000


    AUTO LIABILITY

    Per occurence: $1,000,000 (or maximum $2,000,000 aggregate for one policy year)


    WORKER'S COMPENSATION

    Statutory Requirement


    You are required to:

    • Provide proof of general liability in the amounts specified above, naming the Regents of the University of California as additional insured for the entire length of the event.
    • If you are bringing a vehicle, provide proof of automobile liability insurance in the stated amount required above.
    • If you are bringing employees, the policy must include evidence of Workers’ Compensation coverage.
    • The Certificate of Insurance must provide 30 days’ advance written notice for any modification, change or cancellation of any component of the insurance coverage
    • Attach a Certificate of Insurance to this application if your policy meets these requirements.

    If you do not have insurance coverage of your own:

    • You may obtain coverage at https://ucd.campusconnexionsuc.com/. Go to Vendors and Contractors → Exhibitors, where you will find the Exhibitor/ Vendor Liability Application and instructions. Vendor Liability Application and instructions.
    • A Certificate of Insurance will be issued upon receipt of payment and is your proof of coverage. Attach it to this application.

    IDENTIFICATION:

    Business/vendor partner shall defend, indentify and hold the University, its officers, employees and agents harmless from and against any and all liability, loss, expense (including reasonable attorneys’ fees), or claims for injury or damages arising out of partner’s activities on University premises but only in proportion to and to the extent such liability, loss, expense, attorneys’ fees or claims for injury or damages are caused by or result from the negligent or intentional acts or omissions of partner, its officers, agents or employees.


    RIGHTS OF UC DAVIS:

    Should an emergency of any nature, destruction or damage of an exhibit area by fire, wind storm, strikes, acts of God, etc., or a declaration of any emergency by the Government arise prior to the event which would prevent its scheduled opening, it is expressly agreed that UC Davis may retain as much of the payment for partnership as is necessary to cover expenses incurred by the event up to the time of such emergency.


    CANCELLATIONS:

    In the event a partner finds it necessary to cancel its participation in this event, refunds will be made as follows: for cancellations prior to August 15, 2018, a full refund with deduction of $150 administrative fee; for cancellations 30 days or less prior to the event, no refund. All cancellations must be in writing. Postmarks will be used to determine cancellation date.

    1. Provision of all information requested at the time I submit this application;
    2. Acceptance of application by event organizers, UC Davis Fire Department, UC Davis Property and Liability and UC Davis Office of Environmental Health and Safety (EH&S);
    3. Adherence to all guidelines provided;
    4. All items or artifacts that I sell and/or exhibit being appropriate and consistent with the purpose of the event (event organizers have the right and authority to refuse and/or remove items or artifacts deemed inappropriate;
    5. Successful completion of UC Davis Fire Department and Office of Environmental Health and Safety (EH&S) inspections; and
    6. My refraining from advertising or promoting this event. Publicity is the sole right of UC Davis.

    I realize that failure to achieve satisfactory on-site Fire and/or EH&S inspections and/or failure to comply with stated requirements are grounds for being excluded from participation in this event. I agree that fees already paid will not be refunded should my booth not satisfy conditions stated in the Partnership Application and regulation attachments. I am aware that if I have any questions regarding requirements, I may contact EH&S at 530- 752-3572 and Fire at 530-752-1236 for assistance.

    Bronze – Platinum level partnership applications are due no later than September 1, 2021
